In terms of the actual infrastructure and the set up of networks at convention location, that has been graciously covered by the venue. I will admit, however, that my area of expertise lies in software and I am looking for a team of people who would be able to handle overseeing the provided set up as well as to run any technical maintenance over the weekend.
Have you had any experience in handling large scale events? Not a deal breaker but it would be good for me to know.
Volunteers get all three plus compensation of $40 for every five hour shift per day. If you would like to come on board as staff, however, a compensation package can be discussed in person.
Would you be available to meet either today or tomorrow, preferably in the afternoon? I like to see who I'm working with before further discussion.

I am Goro Majima, owner of Cabaret Club Sunshine and I'm writing to discuss an opportunity that I think would be mutually beneficial to both Re-Convention and my club. I am interested in renting exhibition space to hold a host cafe with the hosts and hostesses of the Cabaret Club Sunshine.
Members of my staff will be dressed up according to different themed areas, and con-goers would be able to sit and chat for ten minute intervals for free, with the opportunity to pay for longer sessions if they choose. We would have food and beverage available as well as proper licences for sale. Ideally, and because it brings the most profit, we would like to be able to sell alcohol in the evenings, after a time as up to the discretion of the convention staff. I would make sure my hosts and hostesses card con-goers and ensure that alcohol isn't distributed to minors.
Additionally, we would invite guests to a photo-booth set up to take pictures with their favorite host or hostess, to be charged an additional fee. Their costumes will allude to but not directly copy media except where permitted to avoid potential copyright infringement.

Thank you for your email and I apologise for the delay in my reply - preparation for the convention has taken up most of my time behind the scenes.
I have read over the preliminary proposal that you have outlined in your email and I am pleased to inform you that this is something that we are definitely pleased to be able to accommodate and to facilitate. I am happy to allow the sale of alcohol at the convention premises so long as the appropriate licenses are obtained, and that no alcohol is served to minors. I believe I should be able to wrangle the convention centre into allowing for the host cafe to serve alcohol between 6pm to 9pm, as our last admission to the convention for all days is at 8pm. Please let me know if this would be sufficient or if I should negotiate for a longer period.
On my end, along with my staff, I would very much like an approximation of the likely amount of space that you will need for the host cafe, including any areas for food and drink preparation, so that my staff are able to maximise the space allocation. I will also have one of my administration staff members contact you in due course to see if we will require any further specific set-up instructions from you - please bear in mind that while we have asked for the convention centre to provide power sources and will be liaising with them to hopefully be able to provide some specialist equipment, it is up to you and the host cafe staff to provide your own decorations for the space.
Of course, the other matter to be discussed at hand is the fees - given that the proposal you have outlined in your email is very much based on the volume of sales generated for the day across all avenues, I would like to propose that the rental fee be pegged to 15% of the host cafe's revenue. Of course, this is open to negotiation and I would be happy to discuss this further if necessary.
In terms of housekeeping matters, I will be organising a briefing in the second week of July for some housekeeping matters, and would be grateful if you or a representative would be able to attend the briefing. I will provide details on the briefing in due course.
